Restaurant Ops Quick Start

Prepare for the First Live Service

Owners and managers should complete these steps before the team handles live restaurant work.

  1. 1

Open Restaurant Ops and Finish Setup

Choose the correct business, open Restaurant Ops, and set the restaurant name, type, service modes, store, and enabled workflows.

  2. 2

Prepare the Menu and Stock Paths

Create Menu Sections, set reusable choices, and use direct-stock items or recipe items according to how each product is sold.

  3. 3

Set Up Tables, Kitchen, and Staff

Add dining areas, tables, Kitchen stations, routing rules, and optional work defaults for team members who already have access.

  4. 4

    Check Item Availability

Review Available, Sold Out, and Unavailable states before service so staff see what can be ordered.

  5. 5

    Complete a Supervised First Order

Start an order, add items, send them to Kitchen when enabled, record payment details, choose a receipt action, and complete only a sale the business intends to keep.

  6. 6

    Practice Daily Close

Review the Dashboard, enter actual cash, handle exceptions, save a draft, and let a manager with permission practice locking the day.

Before You Begin

  • An internet connection is required to save Restaurant changes.
  • BizAssist records payment details but does not move funds.
  • Reservations and reports appear only when available for your role.
  • Kitchen status alone does not complete a sale or change stock.

Start Here

Set Up Restaurant Ops

Finish access, basic setup, the menu, tables, and Kitchen routing before the first service.

Open Restaurant OpsOpen the restaurant workspace for the correct business.Go to: Phone: Manage > Restaurant Ops · Tablet: management sidebar > Restaurant Ops

Steps

  1. Sign in, select the correct business, and wait for your access to load.
  2. On phone, open Manage and choose Restaurant Ops when it appears.
  3. On tablet, choose Restaurant Ops from the management sidebar when it appears.
  4. Continue to Restaurant Setup, the plan screen, or the Restaurant Admin Dashboard shown for the account's current access.
  5. If access is locked, ask an owner with permission to review Restaurant Ops under Billing.

Why It Helps

The team starts in the right workspace and keeps Standard POS sales separate from Restaurant orders.

Important

  • Restaurant Ops and Standard POS are purchased independently; neither one grants the other.
  • Opening Restaurant Ops never creates, clears, or converts an order or sale.

Start or Restart Restaurant OpsGive the business active access to Restaurant Ops without requiring Standard POS.Go to: Billing Gateway or Restaurant Ops Paywall

Steps

  1. Owner chooses Restaurant Ops from the Billing gateway or opens its paywall.
  2. Choose the Restaurant Ops Monthly or Yearly option when plan selection is shown.
  3. Use restore or restart when returning to a previous Restaurant Ops subscription.
  4. Wait for the app to confirm Restaurant Ops access before opening the Restaurant workspace.

Why It Helps

Owners can start or restore Restaurant Ops access independently.

Important

  • Standard POS is not included and is not required.
  • There is no active bundle for new acquisition.
  • The website does not process payments.

Complete Restaurant SetupChoose the basic restaurant and service settings needed before opening.Go to: Restaurant Ops: Manage > Restaurant > Restaurant Setup

Steps

  1. Confirm the Restaurant display name or keep the inherited business name.
  2. Choose the Restaurant type.
  3. Select every service mode the team actually uses: Dine-in, Takeout, Pickup, Delivery, or Third-party delivery where configured.
  4. Choose the default store for Restaurant work.
  5. Enable the approved Kitchen Flow, Daily Close, and Recipe Costing workflows needed by the business.
  6. If dine-in is enabled, review whether a table should be required for dine-in orders.
  7. Choose Save & Continue only after the required fields are complete.

Why It Helps

A complete setup keeps service choices, store details, and later tasks consistent.

Important

  • Only an owner or manager with permission can complete setup.
  • Restaurant changes need valid access and an internet connection. The app does not save them when either check fails.

Set Up Tables, Kitchen, and StaffAdd the tables, Kitchen stations, and staff defaults used during service.Go to: Restaurant Ops: Manage > Restaurant

Steps

  1. Open Operations Setup and create the dining areas and tables the restaurant actually uses.
  2. Set table names, capacities, and active state before opening dine-in service.
  3. Create Kitchen stations and route the relevant products or categories to each station.
  4. Open Personnel and confirm who has Restaurant Ops access before adding optional area, station, or work defaults.
  5. Use Archive or Restore for configuration records instead of deleting operating history.

Why It Helps

Tables and Kitchen can use clear, saved setup from the first order.

Important

  • Personnel assignments add work defaults. Membership, roles, and permissions still control access.
  • Restaurant Ops does not claim drag-and-drop floor planning, scheduling, time clock, or payroll.

Restaurant POS and Orders

Take Orders and Complete Sales

Use Restaurant POS to build the order, Open Orders to return to saved work, and checkout to record payment and finish the sale.

Start or Resume a Restaurant OrderCreate the right Restaurant order or return to one that is already active.Go to: Restaurant Ops: POS or Open Orders

Steps

  1. Open POS and choose New Order, or open the active order from Recent Orders or Open Orders.
  2. Choose the service mode before adding its details.
  3. For dine-in, select the table and guest details when required or available.
  4. Add a Restaurant Customer, order label, staff member, or note when it helps service.
  5. Start or save the order, then confirm the same order identity appears in Current Order.

Why It Helps

Every service action continues from one saved Restaurant order.

Important

  • Starting a Restaurant order never creates a Standard POS current sale.
  • An occupied table resumes its existing active order rather than opening a second one.

Add and Configure Menu LinesBuild the order from the current Restaurant menu and item choices.Go to: Restaurant Ops: POS > Menu

Steps

  1. Browse Menu Sections or search for the sellable item.
  2. Check that the item or variation is currently available.
  3. Choose the variation, modifiers, options, quantity, variable price, or line note when the item requires them.
  4. Review the line summary before choosing Done or Add.
  5. Confirm the line, quantity, and line total appear in Current Order.

Why It Helps

Staff can capture the preparation detail once and carry it into Kitchen and checkout.

Important

  • Restaurant POS checks the latest availability again when a line is added.
  • Direct-stock and Recipe Items update stock in different ways only after checkout completes.

Review and Send the Order to KitchenConfirm the service details before Kitchen begins preparation.Go to: Restaurant Ops: POS > Current Order

Steps

  1. Review the order number, service mode, table or delivery details, customer, items, discounts, taxes, and Amount Due.
  2. Edit or remove an incorrect line before sending it.
  3. Choose Send to Kitchen when the order is eligible and has not yet been sent.
  4. Open Kitchen from the current order when the team needs to follow preparation.
  5. Return to Current Order and continue service from the same Restaurant order.

Why It Helps

Front-of-house and Kitchen use the same order details without creating another editable cart or ticket.

Important

  • Sending the same unchanged order again does not duplicate Kitchen lines; only missing eligible lines are added.
  • Kitchen progress never creates a sale, payment, or inventory movement.

Take Payment and Give a ReceiptRecord the payment details, complete the sale online, and choose a receipt action.Go to: Restaurant Ops: Current Order > Take Payment

Steps

  1. Confirm the correct saved Restaurant order is open and review Amount Due.
  2. Apply an eligible checkout discount and review the resulting preview when needed.
  3. Choose Cash, E-Wallet, Card, or More Methods for Check or Gift Card, then enter the details the selected method asks for.
  4. Review the recorded payment and complete the single final checkout action.
  5. On Receipt, choose Print Receipt, Email Receipt, or No Receipt.
  6. Wait for the Paid result before leaving the flow. Use Transaction Detail later when you need a historical copy.

Why It Helps

The order, completed sale, recorded payment, receipt, and stock update stay connected.

Important

  • BizAssist records payment details; it does not authorize or move money through a payment provider.
  • Printing opens the phone or tablet system print dialog. BizAssist does not pair, configure, or confirm a physical printer.
  • The sales receipt is not an official fiscal receipt, invoice, or BIR certification claim.
  • Restaurant checkout requires an internet connection and does not use Standard POS offline pending sales.

Kitchen

Keep Kitchen Work Moving

See sent items by station and status, then update each item as the kitchen prepares and serves it.

Work the Active Kitchen QueueFind the right station work and choose the next available item action.Go to: Restaurant Ops: Kitchen

Steps

  1. Open Kitchen and select All Stations or the configured station you are working.
  2. Use status and search controls to narrow the active line cards.
  3. Review the order, table or service details, item, quantity, modifiers, notes, age, and timing shown.
  4. Choose Start for a New line, Mark Ready for a Preparing line, or Serve for a Ready line.
  5. Let the queue refresh and confirm the latest status before moving on.

Why It Helps

Cooks and service staff can coordinate the next action without skipping preparation states.

Important

  • Timing cues come from recorded status times; they are not a service-time guarantee.
  • Kitchen writes require a current connection.

Handle Rush, Recall, Cancellation, or a ConflictRecord a service change without changing payment or stock records.Go to: Restaurant Ops: Kitchen > Line Actions

Steps

  1. Open the specific Kitchen item and review its latest status and available actions.
  2. Use Rush only when the active line is eligible.
  3. Use Recall when a manager approves returning the item to active work.
  4. Enter the required reason before submitting Rush, Recall, or Cancel.
  5. Confirm the exact action and line impact.
  6. If another device changed the line first, refresh, review the new state, and decide again instead of repeating the old action.

Why It Helps

Required reasons make each change clear, even when another device is in use.

Important

  • Cancelling every Kitchen line does not cancel the business order; use the separate order-cancellation flow when required.
  • Kitchen actions do not create refunds or reverse a completed sale.

Tables and Reservations

Manage Tables and Bookings

Tables shows live service. Reservations appears only when it is available in the app and allowed for your role.

Open or Resume a TableStart dine-in service on an available table or return to its active order.Go to: Restaurant Ops: Tables

Steps

  1. Choose the dining area and review each table's availability and capacity.
  2. Select an available table, enter the guest count, and add a staff member when allowed.
  3. Confirm the table to create one open dine-in Restaurant order.
  4. For an occupied table, review its active order and choose Resume Order.
  5. Continue in Restaurant POS or open Kitchen with the selected order.

Why It Helps

The team can move from the dining-room board into the exact active order without duplicate occupancy.

Important

  • One table can have only one active dine-in order.
  • Tables shows live service status. It is not a drag-and-drop floor plan or seating optimizer.

Create or Edit a ReservationBook a table for a set time and save the guest details.Go to: Restaurant Ops: Reservations > New Reservation

Steps

  1. Choose New Reservation and enter the service date, start time, duration, and guest count.
  2. Find available tables and select one that fits the party and time window.
  3. Select an existing Restaurant Customer or enter the guest details the form allows.
  4. Review the schedule, table, dining area, guest, and contact snapshot.
  5. Confirm the reservation, then use Reservation Details to make allowed changes or cancel with a reason.

Why It Helps

Hosts can keep a confirmed booking tied to an exact table without treating it as live occupancy too early.

Important

  • Use this guide only when Reservations appears for your role.
  • A future reservation does not create an order, sale, payment, Kitchen line, or inventory movement.
  • Waitlist and advanced floor-planning automation are not included.

Seat a Confirmed ReservationTurn the scheduled booking into the live dine-in order.Go to: Restaurant Ops: Reservations or Tables > Reservation Details

Steps

  1. Open the confirmed reservation when the party is ready to be seated.
  2. Review the reservation time, guest count, table capacity, and current live occupancy.
  3. Choose Seat and let the app check the latest reservation and table status together.
  4. Confirm that the reservation is marked Seated and one open dine-in Restaurant order is created and linked.
  5. Continue in Restaurant POS with the seated party's table and guest details.

Why It Helps

The booking and table are connected to one Restaurant order in one confirmed action.

Important

  • Use this guide only when Reservations appears for your role.
  • If the table has become occupied or the reservation changed, refresh and review instead of forcing the seat action.

Move, Cancel, or Release Table ServiceMove or cancel table service from the order that uses the table.Go to: Restaurant Ops: Order Detail or Tables

Steps

  1. Open Order Detail for the active dine-in order.
  2. To move the party, select an eligible target table and confirm the current Assign or Move action.
  3. To cancel the business order and release the table, open the order-owned cancellation flow.
  4. Enter the required reason and review the impact before final confirmation.
  5. Return to Tables and confirm the board shows the latest table status.

Why It Helps

Moves and cancellations keep the table, order, and history in sync.

Important

  • Kitchen line cancellation alone does not release a table or cancel the Restaurant order.
  • Split checks, partial payments, table merge/split, and course firing are not included.

Menu and Food Operations

Prepare the Menu and Track Food Use

Set up items, recipes, ingredients, and availability. Record waste and delivery settlement without changing a completed sale.

Organize the Menu and Item PathsKeep Restaurant POS choices organized while preserving the correct stock path for each Item.Go to: Restaurant Ops: Menu Management

Steps

  1. Use Menu for recipe-backed prepared Items and Items for direct-stock sellables.
  2. Create Menu Sections and place the right Restaurant items in each section.
  3. Use Categories, Modifiers, Options, Units, and Discounts under Configurations to prepare reusable choices.
  4. Choose Create Items for direct-stock sellables or Create Recipe for a prepared Item plus Recipe journey.
  5. Review the active placement before expecting the choice to appear in Restaurant POS.

Why It Helps

Staff get a scan-friendly menu while stock still follows the selected Item mode.

Important

  • Restaurant catalog records remain independent from Standard POS catalog records.
  • A direct-stock Item must not consume a Recipe, and a Recipe Item must not use the direct sold-stock path.

Create or Review a RecipeConnect a prepared item to exact ingredient quantities and cost details.Go to: Restaurant Ops: Menu Management > Create Recipe or Recipes

Steps

  1. Create or select the prepared Item and confirm its name, category, selling price, and current configuration.
  2. Set the serving target and add tracked Restaurant Ingredients.
  3. Enter each quantity in the exact stock Unit required by the Ingredient.
  4. Review line costs, Cost Preview, and any readiness warnings.
  5. Save only after the Item and Recipe changes are valid and meaningfully different from the saved record.

Why It Helps

Managers can understand what a prepared item costs and what stock a completed sale uses.

Important

  • Restaurant Ops does not convert Ingredient Units. The stock Unit and Recipe Unit must match.
  • Kitchen preparation itself does not deduct Ingredient stock.

Set Menu AvailabilityTemporarily or persistently stop an unavailable Restaurant choice from being ordered.Go to: Restaurant Ops: Availability

Steps

  1. Search or filter the Restaurant product and variation targets.
  2. Select the exact target and review its current effective status.
  3. Choose Available, Sold Out, or Unavailable.
  4. Add the effective or expiry window when the override is time-bound.
  5. Save, then confirm Restaurant POS reflects the resolved status after refresh.

Why It Helps

Front-of-house sees a clear sellability cue, and Restaurant POS checks the latest availability before adding the Item.

Important

  • Availability affects Restaurant Ops only and is not consumed by Standard POS.
  • The workflow does not provide unapproved bulk status changes.

Record WasteCapture an operating loss with an exact Restaurant stock movement and saved reason.Go to: Restaurant Ops: Manage > Cost & Control > Waste

Steps

  1. Choose Record Waste and search for the tracked Ingredient or tracked direct-stock Item or variation that was actually wasted.
  2. Confirm the target is tracked in the correct store and uses the expected stock Unit.
  3. Enter the governed quantity and select the category or reason.
  4. Review the item, quantity, Unit, and reason before confirming.
  5. Return to the Waste ledger and confirm the new record appears.

Why It Helps

Managers can explain stock loss without editing a completed Restaurant sale.

Important

  • Waste saves the Waste record and matching inventory movement together.
  • For a prepared Recipe Item, record the actual tracked Ingredients that were wasted unless the prepared Item itself is a valid tracked direct-stock target.
  • The record is not saved when stock, quantity precision, store, or Unit is invalid.

Review Delivery SettlementReview recorded delivery settlement without claiming a direct delivery-platform connection.Go to: Restaurant Ops: Manage > Cost & Control > Delivery Settlement

Steps

  1. Open Delivery Settlement and review the eligible delivery records and existing history.
  2. Enter or import the supported settlement details when the screen allows it.
  3. Review totals, row selection, and any exception before commit.
  4. Confirm only the rows you intend to save.
  5. Return to the history view and verify the saved settlement record.

Why It Helps

Delivery settlement stays reviewable without changing completed sale totals.

Important

  • Restaurant Ops does not claim native delivery APIs, dispatch automation, or automatic settlement feeds.
  • Delivery fulfillment, Kitchen, payment, and settlement remain independent states.

Dashboard, Close, and Review

Review and Close the Day

Use the Dashboard for today’s signals, Daily Close for the close record, and the read-only reports available to your role for follow-up.

Use the Restaurant Admin DashboardStart with the most important setup, service, Kitchen, availability, or close task.Go to: Restaurant Ops: Dashboard > Admin Dashboard

Steps

  1. Review the restaurant and business date at the top of Dashboard.
  2. Open the Featured next action when it matches the work that needs attention.
  3. Scan the operating pulse for order flow, Tables, Kitchen, availability, and close readiness that your role may see.
  4. Use an available Quick Action to open the screen where the change is made.
  5. Return to Dashboard and refresh to confirm the latest view.

Why It Helps

Managers can find the next task without turning Dashboard into another edit screen.

Important

  • Dashboard is read-only and permission-aware.
  • Unavailable or unauthorized values are omitted rather than displayed as false zeroes.

Prepare and Lock Daily CloseCompare the day's figures and save a close record that cannot be changed.Go to: Restaurant Ops: Manage > Cost & Control > Daily Close

Steps

  1. Open Daily Close and refresh the latest totals before entering close values.
  2. Review completed sales, recorded payment totals, delivery, waste, Kitchen or order exceptions, and expected cash.
  3. Enter actual cash, including zero when that is correct, and add a note when allowed.
  4. Acknowledge every blocking exception with the required explanation.
  5. Save the Daily Close draft so the prepared values can be reviewed without locking the business date.
  6. Have a manager with permission refresh and review the latest comparison again.
  7. Choose Lock Daily Close only after that review and confirm the final lock action.
  8. Confirm the locked result and use Reports for later read-only review.

Why It Helps

The close records what was reviewed without modifying the completed sales that produced the totals.

Important

  • A locked Daily Close cannot be changed.
  • Daily Close is an end-of-day review. It is not accounting, banking, or a sale-correction tool.

Use Available Sales, Finance, and ReportsMove from a summary question to the Restaurant report view that answers it.Go to: Restaurant Ops: Dashboard > Sales or Finance · Manage > Insights > Reports

Steps

  1. Open Sales for restaurant sales totals and the current period.
  2. Open Finance for collected and net sales, refunds, tax collected, cash-flow sources, gross sales, discounts, non-cash tips, and trends your role is allowed to see.
  3. Use Reports for supported Food Cost, Menu Profitability, period, menu, station, table, close, delivery, waste, and service breakdowns.
  4. Keep the selected business date or reporting period explicit while comparing values.
  5. Open the related order, Daily Close, or service screen when follow-up is required.

Why It Helps

Managers get deeper Restaurant visibility without mixing Standard POS data or changing records from a report.

Important

  • Use this guide only when these reports appear for your role.
  • Reports and dashboards are read-only and require report permission.
  • Estimated cost or margin details are not an accounting statement, tax filing, or bank reconciliation.

Review Operational AuditReview who made a change, when it happened, and the saved reason without editing history.Go to: Restaurant Ops: Manage > Insights > Operational Audit

Steps

  1. Open Operational Audit with manager permission.
  2. Filter or search the available history using the restaurant details shown on screen.
  3. Open an event to review the person, reason, record, time, and before-and-after details when provided.
  4. Open the related restaurant record when you need more detail.
  5. Make any new correction in the related task. Audit history cannot be edited.

Why It Helps

Managers can investigate changes while the audit history stays read-only.

Important

  • Operational Audit does not show private service credentials or give a user extra access.

Phone and Tablet

Use Restaurant Ops on Phone or Tablet

Phone uses focused steps. Tablet shows more of Restaurant POS, Kitchen, Tables, setup, and review when space allows.

Navigate Restaurant Ops on PhoneUse focused Restaurant routes when a tablet is not available.Go to: Phone: Manage > Restaurant Ops

Steps

  1. Open Restaurant Ops from Manage when it appears for your account.
  2. Use the Restaurant Admin or Restaurant POS navigation to open an available task.
  3. In Restaurant POS, use the local Orders, Menu, and Current sections to move through the active order.
  4. Open Kitchen, Tables, Menu Management, or close work from the Restaurant workspace. Use Reservations only when it appears for your role.
  5. Use Back or Exit to return to the restaurant screen you came from.

Why It Helps

Restaurant tasks available to the signed-in role remain usable through readable, touch-safe sequential work.

Important

  • Restaurant Ops is not added as a fifth phone root tab.
  • Phone layout differences do not change Restaurant data or permissions.

Navigate Restaurant Ops on TabletKeep more live service and management detail visible on a larger screen.Go to: Tablet: Restaurant Top App Bar + contextual side panel

Steps

  1. Use the Restaurant Top App Bar for POS, Orders, Kitchen, Tables, and other available destinations. Use Reservations only when it appears for your role.
  2. Use the side panel for Admin Dashboard, Menu Management, Manage, Apps, and Standard POS when your role allows it.
  3. Expect Restaurant POS to use a wider menu or Open Orders region beside Current Order when space allows.
  4. Use wider Table, Kitchen, setup, Daily Close, and report layouts when screen space allows.
  5. If the tablet narrows or rotates, continue the same task in the compact layout.

Why It Helps

More visible detail helps the team coordinate service without changing how records work.

Important

  • Restaurant POS and focused checkout routes intentionally hide management navigation where required.
  • Restaurant writes remain online-only on phone and tablet.

Restaurant Troubleshooting

Access, Saved Records, and Task Checks

Restaurant writes are online-only and permission-aware. Start with the exact task owner before repeating an action.

Restaurant Ops does not open

  • Confirm the correct business is active and Restaurant Ops access is current.
  • Wait for membership and permissions to finish resolving, then retry the Restaurant handoff.
  • If setup is incomplete, ask an owner or manager with permission to finish Restaurant Setup.
  • If the plan screen appears, ask an owner with permission to review purchase or restore under Billing.

A menu item cannot be added

  • Confirm the Restaurant Item or variation is active and placed in the current menu.
  • Review Available, Sold Out, or Unavailable status and any effective window.
  • Confirm the active store matches the Restaurant record and the required configuration is complete.
  • Refresh the menu so Restaurant POS shows the latest availability.

An order will not send or complete checkout

  • Confirm the Restaurant order is saved, open, and still the selected Current Order.
  • Review required dine-in table or guest details and any invalid or unavailable item.
  • Reconnect before changing an order or completing checkout; Restaurant changes are not queued offline.
  • If another device changed the order, refresh and review the latest saved version before trying again.

A Kitchen action is unavailable or conflicts

  • Confirm the item is active and the action is currently available.
  • Check the station and status filters so the current line remains in view.
  • Reconnect before Start, Mark Ready, Serve, Rush, Recall, or Cancel.
  • If another device changed the line, refresh and decide from the latest status instead of repeating the old action.

A table or available reservation cannot be seated

  • Confirm the reservation is still Confirmed and can be seated now.
  • Review table capacity, active status, schedule overlap, and current live occupancy.
  • Confirm no other active dine-in order already owns the table.
  • Refresh Reservations and Tables before trying the Seat action again.

Daily Close is blocked

  • Refresh Daily Close so completed totals and service exceptions are current.
  • Review any open order, active Kitchen, delivery, waste, cash, or variance issue shown on screen.
  • Enter actual cash and acknowledge every blocking exception with the required explanation.
  • Confirm the current user is a manager with permission to lock the day.

A Restaurant change disappeared after going offline

  • Treat cached Restaurant screens as read-only until the app confirms connectivity.
  • Reconnect and refresh the related record before entering the change again.
  • Do not assume a failed Restaurant change was queued; the app does not queue Restaurant changes offline.
  • Review the latest saved version before retrying so you do not overwrite another device's work.
